About ucLoops
An AI productivity framework for nontechnical users
The challenge
Millions of people are now in the same work situation: organisations have just given everyone access to AI tools like ChatGPT, Gemini, or Claude, expecting (magical) productivity gains.
Instead, teams are struggling.
- They’re having some success in low-hanging fruit – grammar and copy editing, some light brainstorming.
- They’re also having conversations with chatbots that lead nowhere productive.
- They’re getting inconsistent results.
- They’re spending more time figuring out how to ask the right questions than actually solving business problems.
This is the reality facing many professionals today. Organisations are investing heavily in AI technology but seeing limited returns because they lack a structured approach to AI adoption.
Teams are stuck in what we call the “chatting and prompting” phase: they know AI could help them, but they don’t know how to move beyond basic conversations to build truly productive workflows.
How ucLoops solves the adoption challenge
ucLoops provides a framework that takes AI from a blank-slate chatbot into a structured team of virtual assistants.
Think of it as a template model for AI* – a systematic way to design, configure, and deploy AI agents that work consistently and effectively across your organisation.
(*Yes we use em dashes! Always have, always will.)
The methodology addresses a fundamental issue at the heart of AI rollouts: AI’s in the general workplace are just tools, and tools need templates, workflows, and structured interactions.
AIs therefore work best when configured with clear roles, specific skills, and structured processes, just like human team members.
ucLoops provides templates and frameworks that allow nontechnical users to design their own AI agent teams without needing programming skills or deep technical knowledge.
The human-centred philosophy: “humans are the loop”
Unlike approaches that position humans as AI supervisors (“human in the loop”) or quality checkers (“human on the loop”), ucLoops places human agency at the centre of every process.
Humans drive the strategy, make the decisions, and maintain creative control. AI provides acceleration, not replacement.
This philosophy recognises that the goal isn’t to make things faster; it’s to make them better.
ucLoops amplifies and extends human agency and expertise by handling time-consuming, non-value-added tasks so professionals can focus on strategy, creativity, and complex problem-solving.
The hierarchy is
- Human agency
- accelerated by AI
- on top of a real-world data foundation
- that is reflective of and respecting real human experiences.
How ucLoops works
The methodology provides these core components that work together to create effective AI agent teams:
- Context and role definition establishes what each AI agent is responsible for and what background knowledge it needs to perform its role effectively. This includes job descriptions, expectations, and important notes about how to approach its work.
- Interaction framework creates a structured communication system between humans and AI agents.
- Skills are special reusable task definitions that agents can perform, with clear input and output specifications, and consistent formatting that eliminates ambiguity and reduces the need for lengthy explanations and “chats”.
- Knowledge management defines what information each agent needs access to, from general industry knowledge to specific organisational data, processes, and documentation, with recommendations on how to preprocess and store references for optimal AI consumption.
The system is also designed with integration in mind. It’s built to use external tools while executing a skill and to connect to external data sources like content or data repositories and content management systems to keep work grounded in the latest organisational truth.
Enterprise-ready and platform-agnostic
ucLoops is designed to work across different AI platforms, including ChatGPT, Claude, Gemini, and Copilot. The framework is portable, meaning teams can maintain their investment in AI configuration even as underlying technologies evolve.
The methodology includes integration hooks that allow AI agents to connect with existing enterprise systems, making it suitable for large organisations with complex technology stacks and governance requirements.
Real-world applications
Organisations are using ucLoops to create specialised AI agent teams for content and marketing strategy, customer and user experience, technical documentation, and product design support. The methodology scales from individual productivity improvements to enterprise-wide AI adoption programmes.
ucLoops creates reusable systems that improve over time and can be shared across teams, departments, and entire organisations.
The first publicly available Urbina Consulting framework based on the ucLoops approach is focused on strategy, content, and design, which provides an AI acceleration layer on top of research data, including a data assistant, UX assistant, and persona simulation capabilities.
See outputs from framework in a fictional example created using three different types of AI assistant and multiple skills to create deliverables that connect source material to insights, personas, and journey maps.
